This article was originally published on February 26, 2008. We've updated the content to be current as of September 8, 2008 for the upcoming holiday selling season. Check out Holiday How-To: Offering Services for more great tips on providing those special extra touches for your holiday shoppers.
How to send a revised invoice is a question that comes up from time to time. There are a few situations in which a seller might need to send a customer an updated invoice before she pays. For example: to offer a discount or sale price without editing the listing, an Alchemy transaction or if the buyer mistakenly chose "other payment" intending to pay by credit card through PayPal.
To get started, here is the info you'll need to gather for the PayPal invoice. This is all conveniently included on the Etsy invoice page under Your Etsy > Sold (orders).
- buyer's email address
- quantity of item(s)
- Etsy transaction ID number (for the "Item ID" field in PayPal)
- item title or short description
- price of the item
- cost of shipping
Here's how to create an invoice in PayPal for your transaction:
- Go to PayPal.com and login to your account.*
- Click the "Request Money" tab.
- Click "Create an Invoice" in the header.
- Select "New Invoice" from the drop-down menu and press the "Continue" button.
- On this page, you will enter in all the details of the transaction, as noted above. For "Invoice Type," select "Goods." Press "Continue" when you've got all the info entered. (see the screenshot below)
- Review the Invoice. Make sure everything is accurate, then press "Send Invoice."
- You can save a template of the invoice you just sent if you think it will be a common transaction.
Here is how Step 5 looks:

An email will be sent to your customer with all the details and a link back to PayPal to complete the payment. If you go back to Your Account, you will see an entry in your Account Activity section for the invoice you just sent. This will have a Pending status until the buyer pays you. (Remember, never send the item until you have confirmed payment has been made.)
HOT TIP: A buyer can pay using a credit card even if they're not a registered PayPal member.
*For international sellers who use a version of PayPal localized to their country (such as PayPal.co.uk for the United Kingdom), the steps may be slightly different in the non-USA versions of PayPal. Please consult PayPal's Help Center for more information.

Thanks! I have been thinking about how to do this, and it seems very easy. Helpful article!

Yes, thank you very much for this info. I will add a comment to my shipping/buying instructions and use this. I knew about the possibility, but it had slipped my mind.

This series is such a great idea! Very helpful for our lovely newbies. =)

kalicat - the easiest way to get a buyer's email address is to convo them and ask for it.
eclipse
We already get a buyer's email address in the transaction details and the transaction email we get from Etsy. You don't have to ask for it.

Hmm, looks like PayPal doesn't like me. I am unable to create any invoices... All I get is a box with 'Click here to retry'... which I can do until Hell freezes over, because clicking there doesn't change anything.
A friend of mine tried, and he does get the invoicing page. Why does PayPal not like me...? snif, snif... ;-)
stellaloella
EvertM, I'm sorry you're having problems with PayPal custom invoicing. Have you checked PayPal's Help Center yet for a solution?
wiremajigs
THANK YOU ETSY for your excellent customer service, most recently from Joe in CustomerCare. He led me to this article. I've asked questions a couple times before & always received a quick & accurate response. You truly practice what you preach!!!

I am confused about which to list the transaction item number or the listing number...which number do we put in the paypal space for order number?
pinkpandamary
I'm newbies and just got a combine shipping request. It is very helpful and I've just send my first invoice to my client.
Thanks!

Thank you for all of these articles...I am a newbie "like as of today" and I am setting things up for my shop .... I am a little nervous about this but I'm sure after a few buying transactions I will get the hang of it.
pottery4petsnpeople
Thank you for your quick reply and your help with this.

I sold 3 items yesterday, and the sold section indicates they are paid for through PayPal, but no record of this in my PayPal. Does the checked box mean that is their intention, or that they have done so. Thanks
hellojilli
Great article, big help as I'm just starting out and wasn't sure how to give discounts without editing the listing! Thanks so much!

Dear etsy
Million thanks for you help:)

Very clear and easy to use instructions, just sent my invoice as I didn't include the shipping amt in my listing. Thanks!
davidcoty
So very helpful and easy to follow for us new Etsyans!!!! Thank you.
BlindCicada
okay. I followed the directions. Invoice sent successfully thru PayPal. Invoice was paid successfully. But items did not go to sold list. It appears they are still for sale. What next?
javachip
for alchemy, if the person requests three different things, how do I get the ID #'s for all of them? and what if I want to bill her for each thing at a different time? (we agreed that payment is after it's completed, and she needs two of the things done quickly but the other one later). thanks so much!
bonjuju
i have noticed that some of the shops have the number of items for sale listed and underneath it - it does not say how many items have been sold. I would rather not have how many items have been sold since i am new and have not sold many items yet. marketing thing:). Is that something I do from Etsy page? Or how is that done- So that is does show how many items i have sold. thanks.
leonda55
I'm so impressed at the "help" offered in every stage of buying and selling at Etsy. Even those of us who have difficulty understanding techie stuff are able to follow the well-described steps and produce the desired outcome. And kudos to veteran Etsy subscribers. I have received help when purchasing from a vendor, and they are all so willing to give me a hand from their experience
cuddlycozy
Yes, I am one of the newbies. Only one sale so far but for all the future sales :o) I will use this. Thanks again for all the info.
debut
Please accept my GIGANTIC thank you for making this tute. It was easy and worked perfectly for my first Alchemy bid as a seller. Yea!
barbdrew
This information is very helpful to someone who is new to Etsy.
dinniewrinklesdesign
Thank you for all the info. It's very helpful for a newbie like me. And you have pictures!

Wow! This article was just what I needed. I had a customer
request a combined invoice for two separate orders. Being a technotard, I started to freak out just a bit. But...never fear Etsy Storque to the rescue. Awesome, easy to understand and...the article had pictures!!!!
Etsy is "the" place to buy and sell online..even for
technophobes!!!! Thanks
CoCoArtiste1
thanks, I think it's great that whatever I have a question for I can find it here.

This is such a great site, it is simple to set up shop, and it is a good way to make connections within the artists community. I am very excited about all the possibilities it has opened up.
Your help pages are amazingly helpful. Thanks.
ifrogcrafts
Awesome! I just got an order for a custom item & was wondering how I needed to do that. Thanks!!!

Thankyou very much - was linked to this because I asked this morning. Great.

How does it work if I send an invoice using Paypal and them make the item appear as SOLD on my store? I don't understand :(
KimFelsen
How do I get my items in front of new customers? I'm interested in getting web presence.
Llambchoppes
Thanks for the clear and concise information! I am very new to Etsy and I am excited about the prospect of winning bids and/or creating custom orders. ;)
shecological
This is a great tutorial but I am not sure when I need to send an invoice. Is it only under certain circumstances or every time? I have sold 16 items and have never sent an invoice. I have also bought a lot on etsy and I don't think I have ever received one. Am I doing something wrong? Usually I just look at my "sold category and see if it says "payment received"
TheChownJewels
Sooooo useful!
I have also only recently joined etsy and I'm not entirely sure if anyone will post an answer to this question here or if some knowledgeable person will email me, but here we go:
What if someone was planning to 'wait for an updated invoice' for a discount/promotion, but has misunderstood, and sent you payment anyway? If you 'refuse' their initial payment and send them an updated invoice, is this ok or will it affect their buyer status in any way?
As a reply to 'shecological', in case noone else has replied (as I say, not entirely sure how this works!), my understanding is that if a customer has paid via paypal, you only need to send them an invoice
a) if a customer particularly requests one, as the normal confiramtion emails suffice for most people
b) if you need to adjust the amount to be paid
I hope this helps, but if I am totally wrong about this, please somebody tell me as well!
gizmohandme
i also am a newbie to selling. i made the mistake of editing the price on my items, but stated it in my shop announcement. was this a mistake? which do you find to be a better? revising an invoice or editing the item price? i wish their was a way to put in a coupon code b4 it actiually goes to payment method. i think, and i am speaking for myself, of course, that it is nice to see a re-calculation b4 my eyes. and watch the price go down! :)
i would just hate to go back and re-re-edit.
lots of great questions asked here, and i am a bit confused on when to send an invoice. i know when i purchased a product, i went straight to paypal and paid. ????hmmm
bibs4drips
i just made my first sell (yuppie) and i didn't know that i can send the invoice with a changed price. i changed the price by hand on the site, the customer paid and then i changed again. the info above is very very helpful. thanks!
Planetpollyanna
Thanks, I have seen the comment on some shops that say they'll send an "updated invoice" for certain situations and now I know how to do it if the need arises. Thanks so much for the important info.
KymminNC
I wish I had read this article long ago! This is so much easier than what I have been doing!
Thank you for the great articles!!
PDXfabricdeli
Invoices are great, but very time consuming if there is no easy way to transfer all the sales info. OR ? did I miss something?
MurdieK
I am so very new to all this. Thank you for the help in what to do once I make a sale.
baasheep2
OMG! Thank you! I just made my first sale and had absolutely no idea what to do! Love you guys!
POPPYPRINCESS
I am still confused just made my first sale, customer is paying by paypal, it says to check customer address against paypal receipt, there isnt one and no record of payment in my paypal account, help , does the payment go through straight away? do i have to send an invoice? I hope some one can help.
JonesyAndCrane
So helpful! How would I get around without these articles?!?
playbirdplay
well the only thing about using the paypal invoice is I have using etsy for conversations and not a personal email address. This is a custom order, if I create an invoice outside of etsy, how does it show on my feedback?
A2SeaCreations
I have been using PayPal for awhile now because of my other website - 'Tickleberry Telegrams'. I have found PayPal to be very user-friendly and I always get an email from them when something is happening in my account so it is so easy to keep track of everything. Especially for people like me who aren't too swift at the paperwork end of things. Thanks for all the info you provide to us Etsyians!
Cheers, Micki

Just the same question again: 'Do I send an invoice after payment is already made?' I have had all transactions real smooth and easy, so I didn't need to send invoice before payment was made through Paypal.
Thanks.

just trying to understand all it takes to make a sale.etsy is the best!
PleasingToTheEye
Hi,
Lately shipping is killing my profit margin, can I send an
invoice for the difference in payment I received to help cover the added expense? I don't know how much something will cost to ship until I know where it is going...how do you handle this situation?
Thank you.

Thank you for posting this...never had to use this info until today and would have been clueless if this wasn't here, lol! Thank you!
kitschcrazy
Thanks Etsy, this was really helpful. Is there any way you could make these tips downloadable as PDFs so we can save them to our desktops for easy access?
Brileys
I think that it will only make sense to me when I actually do a transaction(no sales yet). Can't seem to understand how the money gets to me once they have paid thru paypal.
Thanks to everyone for all the great comments

If a customer buys from etsy AND from ebay or another shopping site say (folksy) , how can you combine all items so that they pay just one invoice rather than 2 invoices! It then means paypal don't take 2 lots of fees from you, just one!!
Jane :o)
PeaceGarden
I have a client who wants to buy three items with cash. She doesn't have a computer..I know very hard to believe, but true. Can I create the receipt, sans shipping since this is a hand to hand sale and then the percentage to etsy will come from my paypal account???
Clear as mud???? Laura
LatentImaging
Thank you for the how to! I love how easy Etsy has made this! I have been using Paypal for a while just to shop, I never knew there was so much that they offered!
SnazzySnugglies
Thanks for the step-by-step instructions. I'm a new seller and will appreciate the tips whenever I make my
first sale!
playswithpaper828
Great Article! In less than three minutes I sent an invoice to a customer who lost her own invoice. Being new myself, I simply looked up my question and *bang* it was just that easy!
YuStudios
Hi,
I am a new member and don't really understand how Etsy links Paypal to my items if I accept Paypal. If I have a promotion item associate with other items, how can I show 10% off from this promotion item if they buy other items together? When I add a new item on Etsy, should I also have this item in my Paypal account? Thank you for your help!
adventuresinclay
Thanks for the good info! I just started my store and didn't even know how to do invoices.
ShellScapes
Thanks! Just received my first Alchemy order and need this information. Very easy to follow and much appreciated!
SuellensCreations
As many, I'm new to all of this. Made 2 sales but didn't know I had to send an invoice. They paid through PayPal and I was notified. Is there something I'm missing?
lovepetals
This is great information. I am sure this will come in handy one day soon. This paypal stuff gets confusing but I am sure I will get the hang of it. Thanks.

How do I add sales tax in etsy so if a person orders an item and pays for it before I know about it they will also be charged sales tax if in California like me?
CranberryCrafts
Understanding how gift certificates are redeemed on the Seller end was not easy for me to come by. This article has helped me to further understand the process.
APinchOfCheer
Thanks, this looks fairly straighforward. I had been wondering how to do this.
natalya1905
Thank you very much! This step-by-step instruction helped me today.
FreshLemonBlossoms
I just had my first Alchemy request and this came in handy for walking me through the invoicing. Thank you so much for these helpful articles!
CandlesByMarla
I also was wondering how to do this - this was very helpful - can't wait for my first sale to try this out! - Thank, Marla C.
backyardprims
Thanks, what a big help. I never knew I could do that and several buyers have asked.

Great tutorial, with the holidays coming up I can see this helping to sort through a lot of the NTE confusion!
ThePolishedWolf
Hey,
Does anyone know if it's possible to change/adjust the total for an invoice after someone has bommitted to buy?
I want to use this for local pick-ups and possibly discounts.
rakshniyavintage
Thanks for having this! I was confused by the ID number and was'nt sure the transaction number would do (but now I see that's the number I should put in).
karma1969
Here I am another newbie. Trying to set up Paypal. Am somewhat savy of Internet, but new to selling. When my item sells, will the item vanish from account for me to add new item? Also, having trouble configuring shipping costs because I will have small items such as jewelry and large such as mobiles and such.
littlepinkpebble
it has helped me so many times because i keep forgetting lol
JennifersGift
I'm still confused how do you make your item appear as sold once you have received payment? ANYONE?
