Customer Care Tip: Sending an Invoice from PayPal

How to send a revised invoice is a question that comes up from time to time. There are a few situations in which a seller might need to send a customer an updated invoice before she pays. For example: to offer a discount or sale price without editing the listing, an Alchemy transaction or if the buyer mistakenly chose "other payment" intending to pay by credit card through PayPal.

To get started, here is the info you'll need to gather for the PayPal invoice. This is all conveniently included on the Etsy invoice page under Your Etsy > Sold (orders).

  • buyer's email address
  • quantity of item(s)
  • Etsy transaction ID number (for the "Item ID" field in PayPal)
  • item title or short description
  • price of the item
  • cost of shipping

Here's how to create an invoice in PayPal for your transaction:

  1. Go to PayPal.com and login to your account.*
  2. Click the "Request Money" tab.
  3. Click "Create an Invoice" in the header.
  4. Select "New Invoice" from the drop-down menu and press the "Continue" button.
  5. On this page, you will enter in all the details of the transaction, as noted above. For "Invoice Type," select "Goods." Press "Continue" when you've got all the info entered. (see the screenshot below)
  6. Review the Invoice. Make sure everything is accurate, then press "Send Invoice."
  7. You can save a template of the invoice you just sent if you think it will be a common transaction.

Here is how Step 5 looks:

An email will be sent to your customer with all the details and a link back to PayPal to complete the payment. If you go back to Your Account, you will see an entry in your Account Activity section for the invoice you just sent. This will have a Pending status until the buyer pays you. (Remember, never send the item until you have confirmed payment has been made.)

HOT TIP: A buyer can pay using a credit card even if they're not a registered PayPal member.

*For international sellers who use a version of PayPal localized to their country (such as PayPal.co.uk for the United Kingdom), the steps may be slightly different in the non-USA versions of PayPal. Please consult PayPal's Help Center for more information.

kalicat - the easiest way to get a buyer's email address is to convo them and ask for it.

We already get a buyer's email address in the transaction details and the transaction email we get from Etsy. You don't have to ask for it.

Hmm, looks like PayPal doesn't like me. I am unable to create any invoices... All I get is a box with 'Click here to retry'... which I can do until Hell freezes over, because clicking there doesn't change anything.

A friend of mine tried, and he does get the invoicing page. Why does PayPal not like me...? snif, snif... ;-)

I sold 3 items yesterday, and the sold section indicates they are paid for through PayPal, but no record of this in my PayPal. Does the checked box mean that is their intention, or that they have done so. Thanks

okay. I followed the directions. Invoice sent successfully thru PayPal. Invoice was paid successfully. But items did not go to sold list. It appears they are still for sale. What next?

i have noticed that some of the shops have the number of items for sale listed and underneath it - it does not say how many items have been sold. I would rather not have how many items have been sold since i am new and have not sold many items yet. marketing thing:). Is that something I do from Etsy page? This is a great tutorial but I am not sure when I need to send an invoice. Is it only under certain circumstances or every time? I have sold 16 items and have never sent an invoice. I have also bought a lot on etsy and I don't think I have ever received one. Am I doing something wrong? Usually I just look at my "sold category and see if it says "payment received"

I have also only recently joined etsy and I'm not entirely sure if anyone will post an answer to this question here or if some knowledgeable person will email me, but here we go:

What if someone was planning to 'wait for an updated invoice' for a discount/promotion, but has misunderstood, and sent you payment anyway? If you 'refuse' their initial payment and send them an updated invoice, is this ok or will it affect their buyer status in any way?

As a reply to 'shecological', in case noone else has replied (as I say, not entirely sure how this works!), my understanding is that if a customer has paid via paypal, you only need to send them an invoice

a) if a customer particularly requests one, as the normal confiramtion emails suffice for most people

b) if you need to adjust the amount to be paid

I hope this helps, but if I am totally wrong about this, please somebody tell me as well!

i also am a newbie to selling. i made the mistake of editing the price on my items, but stated it in my shop announcement. was this a mistake? which do you find to be a better? revising an invoice or editing the item price? i wish their was a way to put in a coupon code b4 it actiually goes to payment method. i think, and i am speaking for myself, of course, that it is nice to see a re-calculation b4 my eyes. and watch the price go down! :)
i would just hate to go back and re-re-edit.
lots of great questions asked here, and i am a bit confused on when to send an invoice. i know when i purchased a product, i went straight to paypal and paid. ????hmmm

I have been using PayPal for awhile now because of my other website - 'Tickleberry Telegrams'. I have found PayPal to be very user-friendly and I always get an email from them when something is happening in my account so it is so easy to keep track of everything. Lately shipping is killing my profit margin, can I send an

If a customer buys from etsy AND from ebay or another shopping site say (folksy) , how can you combine all items so that they pay just one invoice rather than 2 invoices! It then means paypal don't take 2 lots of fees from you, just one!!

I am a new member and don't really understand how Etsy links Paypal to my items if I accept Paypal. If I have a promotion item associate with other items, how can I show 10% off from this promotion item if they buy other items together?
