Shop name: Bear and Bup
Last updated: 15/7/26

This Privacy Policy explains how we collect, use, and protect your personal information when you visit our Etsy shop or purchase our products. We are based in the United Kingdom and this shop sells to customers within the UK only.

1. Who We Are

Bear and Bup is a sole trader / small business based in the United Kingdom, selling hand-stamped and engraved keepsakes via Etsy.

Contact email: caitcress@yahoo.co.uk

2. Information We Collect

When you make a purchase or contact us through Etsy, we may collect:

Your name
Shipping and billing address
Email address
Order details (items purchased, personalisation/engraving text you provide, order value)
Messages you send us through Etsy Messages
Any information you provide for gift notes or custom engraving requests

Etsy, as the platform operator, also independently collects and processes data (such as payment details) in accordance with its own privacy policy. We do not have access to your full payment card details — these are handled directly by Etsy and its payment processors.

3. How We Use Your Information

We use your information to:

Process and fulfil your order
Personalise items according to your instructions (e.g. engraving text)
Communicate with you about your order (confirmations, shipping updates, queries)
Respond to customer service enquiries
Comply with our legal and accounting obligations (e.g. UK tax record-keeping)
Improve our shop and products (using aggregated, non-identifying insights where possible)

We do not use your personal information for marketing purposes unless you have separately opted in (e.g. by subscribing to a newsletter).

4. Legal Basis for Processing (UK GDPR)

We process your personal data under the following lawful bases:

Contract – to fulfil the order you have placed with us
Legal obligation – to meet UK tax and accounting record-keeping requirements
Legitimate interests – to respond to enquiries and maintain good customer service
Consent – where you have opted in to marketing communications (if applicable)

5. Sharing Your Information

We only share your information where necessary, including with:

Etsy – as the platform through which your order is placed and processed
Royal Mail / courier services – to deliver your order
HMRC – where required for tax reporting purposes

We do not sell or rent your personal information to third parties.

6. International Transfers

We are based in the UK and do not sell to customers in the EU. Where any of our service providers (such as Etsy) process data outside the UK, they do so under their own compliance frameworks — please refer to Etsy's Privacy Policy for details of Etsy's own data handling.

7. Data Retention

We retain order information for as long as necessary to fulfil the order and to comply with our legal obligations, including UK tax record-keeping requirements (typically up to 6 years).

8. Your Rights

Under UK GDPR, you have the right to:

Access the personal data we hold about you
Request correction of inaccurate data
Request deletion of your data (subject to our legal retention obligations)
Object to or restrict certain processing
Withdraw consent at any time (where processing is based on consent)

To exercise any of these rights, please contact us at caitcress@yahoo.co.uk.

You also have the right to lodge a complaint with the UK's data protection regulator, the Information Commissioner's Office (ICO), at www.ico.org.uk.

9. Cookies and Etsy's Platform

As our shop operates through Etsy, cookies and similar tracking technologies on the platform are governed by Etsy's own Privacy Policy and Cookie Policy, available at etsy.com/uk/legal/privacy. We do not independently place cookies on your device outside of the Etsy platform.

10. Changes to This Policy

We may update this Privacy Policy from time to time. Any changes will be posted on this page with an updated "Last updated" date.
